Terms & Conditions
Welcome to Woodman Elite ladies Kickboxing Ltd! We’re so excited to have you training with us. These Terms & Conditions are in place to keep everything clear, safe, and supportive for all participants.By completing a booking or payment, attending classes, or participating in any of our programmes, you confirm that you have read, understood, and agreed to the following:
General

These Terms & Conditions (“T&Cs”) apply to all classes, workshops, and programs offered by Woodman Elite Ladies Kickboxing Ltd.

We currently operate across the following locations: Berkeley, Bishops Cleeve, Brockworth, Cheltenham, Cirencester, Cricklade, Dursley, Highworth, Lyneham, Malmesbury, Minchinhampton, Nailsworth, Purton, Quedgeley, South Cerney, Stonehouse,Tetbury, Thornbury, Wotton Under Edge and Yate.

Woodman Elite Ladies Kickboxing Ltd operates within the Elite Ladies Kickboxing (ELK) network. Access to classes, promotions, and events across locations is subject to your booking or membership type.

We reserve the right to change instructors, class times, or locations where necessary.
Eligibility
-
Classes are designed for ladies aged 13 and over (participants under 18 must have parental/guardian consent).

Participants must be medically able to take part in physical activity. If you have any health concerns, injury, or pregnancy, please consult a doctor before attending.

Beginners are welcome. No prior experience or fitness levels are needed.
Memberships & Packages

Memberships (monthly or annual), class blocks, and packages are valid only for the registered participant and are non-transferable.

All memberships and packages must be used within their stated timeframe. Extensions are not available unless explicitly agreed to before booking.

We reserve the right to update pricing, packages, and inclusions. Any changes will be communicated in advance.
Booking & Payment
-
Payments must be made in advance to secure your place.
-
Trial sessions can be booked online. Memberships are set up via GoCardless. Annual memberships are arranged via invoice through your instructor.

All payments are non-refundable unless otherwise stated (e.g. specific events, workshops, or promotions).
-
We do not offer refunds for classes. In exceptional circumstances, we may consider credit or adjustments at our discretion.

Missed or failed payments may result in immediate suspension of access. Continued non-payment may result in cancellation of membership and any associated benefits.
-
Classes, Private sessions, Workshops and Seminars must be booked in advance unless otherwise stated.
Pay As You Go (PAYG) Bookings
-
PAYG sessions are valid for a single class on the selected location, date and time only.
-
Spaces are limited and PAYG does not include access to membership perks, benefits, or promotions.

PAYG sessions are non-refundable.

We can reschedule a PAYG session if at least 24 hours’ notice is given before the class start time. Less than 24 hours’ notice means the session is forfeited with no refund or transfer.
4-Class Block Bookings

The 4-class block is valid for 4 consecutive weeks from your first booked session.

Your sessions will automatically be scheduled for the same day, time, and location each week across the 4-week period unless otherwise arranged.

If you wish to attend a different class, location, or time within your block, you must contact us as soon as possible after booking.
-
4-class blocks are non-refundable and non-transferable.

We can reschedule a session if at least 24 hours’ notice is given before the class start time. Any rescheduled session must take place within the original 4-week block period. Sessions cannot be carried over beyond this timeframe.

Less than 24 hours’ notice means the session is forfeited with no refund or transfer.
Refund Policy

All payments are non-refundable unless otherwise stated.This includes PAYG sessions, class blocks, memberships, private sessions, workshops, and seminars.

In exceptional circumstances we may consider transferring credit or freezing membership at our discretion.
-
Any refunds issued at our discretion will be reduced to cover costs already incurred, including payment processing and administrative fees.
-
If you believe you have a valid reason for a refund, please contact your instructor or email us to discuss your case.
-
Cancellation requests must be submitted in writing (email or message).
-
Any cancellation or refund request received on or after the start date of the block, class, workshop, or event will not be eligible for a refund or transfer.
Workshops, Events & Seminars
-
Refund eligibility for workshops, events, and seminars is determined by the event start date and the date and time the cancellation request is received.
-
7 or more days before the event: Full refund minus a processing fee
-
3–6 days before the event: 50% refund
-
Less than 3 days before the event: No refund
-

Specific events may display exact cut-off dates for refund requests
Attendance & Cancellations
-
Missed classes under active memberships may be made up at another ELK location, provided your membership is active.
-
Make-up sessions must be used within the same calendar year (1st January to 31st December). Unused sessions do not roll over.
-
We may cancel or reschedule classes due to unforeseen circumstances such as instructor illness or venue issues.
-
Monthly memberships require one month’s notice to cancel. Please inform your instructor directly.
-
We reserve the right to refuse entry to late arrivals where it may disrupt the class or increase risk of injury. No refunds or transfers will be given in this case.
Code of Conduct

We are committed to maintaining a safe and supportive environment.
-
All participants are expected to treat instructors, members, venues, and equipment with respect.
-
Bullying, harassment, discrimination, or disruptive behaviour will not be tolerated and may result in removal from classes without refund.
-
We reserve the right to refuse participation or remove any individual where behaviour, safety, or wellbeing of others yourself or others is impacted.
-
Personal belongings remain your responsibility. We are not liable for loss or theft.
Health & Safety
-
Kickboxing is a physical activity and carries inherent risks.
-
By participating, you accept responsibility for your own health and safety and agree to train within your own limits.
-
Participants must inform the instructor of any injuries, medical conditions, or concerns before class.
-
Participants are responsible for communicating with the coach if they need to stop or modify any activity.
-
All participants must follow coaching instructions. We reserve the right to stop participation if instructions are not followed.
-
Appropriate footwear and protective equipment must be used at all times.
Events, Challenges & Promotions

Participation in challenges, seminars, and events is optional and subject to these T&Cs.
-
Prizes or rewards are non-transferrable and cannot be exchanged for cash.
-
Promotional offers (including free trials, beginner courses, and guest passes) are strictly limited to one per person in total.This includes any individual who has previously attended any paid or promotional session, including PAYG sessions, class blocks, memberships, workshops, or events.Promotional offers are for genuine introductory use only and cannot be reused, repeated, or combined across any offer types, locations, or accounts.We reserve the right to refuse bookings, cancel access, or withdraw eligibility where promotional use is deemed repeated, inappropriate, or intended to bypass standard pricing or membership structures.
Membership Benefits & Grading Eligibility
Membership provides access to progression opportunities, structured development, and exclusive training not available through Pay As You Go (PAYG) or class block bookings.

Grading Eligibility

Eligibility to grade is reserved for active members only.

To be eligible for grading, participants must:

Be on an active monthly or annual membership
-
Have completed a minimum of 15 classes within the current grading cycle
-
All qualifying classes must be attended while on an active membership
-

Attendance completed via PAYG sessions, class blocks, or prior memberships does not count towards grading eligibility.
-
Membership must be active at the time of grading and throughout the period in which qualifying classes are completed.

We reserve the right to decline grading entry where attendance is not consistent within the grading cycle.

Media & Content

Classes may be photographed or filmed for social media and marketing purposes.

If you do not wish to appear in any content, please inform us. We will remove any content upon request.

All training materials, videos, and class plans remain the intellectual property of Woodman Elite Ladies Kickboxing Ltd.
Privacy

Personal information is collected for booking, training, safety, and communication purposes.

We comply with applicable data protection laws and do not share your information with third parties.
Liability & Waiver

Participation is at your own risk.

Woodman Elite Ladies Kickboxing ltd is not liable for injuries, loss, or damage, except in cases of proven negligence
-
Participants acknowledge and accept the risks associated with kickboxing and related fitness activities.

We encourage participants to have personal health or accident insurance.
Amendments
-
We reserve the right to update these T&Cs at any time.

Any significant changes will be communicated via email or public update.
Agreement
By booking or attending any session, you confirm that you have read, understood, and agreed to these Terms & Conditions.
